Changing your plan: upgrades, downgrades, and billing cycles
Plans in Mermix differ on one thing: how many resources you can schedule. Portfolios, planner accounts, board viewers, and Jira projects are unlimited everywhere. So changing plan is almost always a response to your team changing size — and it's designed to be a two-click decision you can reverse.
Everything below happens in My Account → Shop. You can reach it from the planner via the avatar menu, or at myaccount.mermix.io.
Upgrading
Upgrades take effect immediately. The moment you confirm:
- Your new resource allowance is live — you can add people straight away.
- Any new AI models unlock (Sonnet on Team, Opus on Enterprise).
- Your monthly AI credit allowance resets to the new plan's, right then, not at your next renewal.
You'll be charged a prorated amount for the rest of your current period, not a full month. If you're eleven days into a monthly cycle, you pay for the nineteen days remaining at the difference between the two plans.
We show you the exact figure before anything is charged — the amount, the VAT within it, what you'll pay at each future renewal, and the renewal date. Nothing leaves your account until you confirm on that screen.
You'll receive a single invoice for the prorated difference.
Downgrading
Downgrades take effect at the end of your current billing period — not immediately.
You've already paid for the period you're in, so you keep your current plan and everything in it until that period runs out. On your renewal date the new plan takes over, and you're billed the lower price from then on.
- No refund or credit is issued for the time remaining on your current plan. You paid for it; you keep using it.
- You can cancel a scheduled downgrade any time before it lands. Until then a banner on your Overview shows what's changing and when, with a Cancel button next to it.
- Your AI credit allowance drops to the new plan's at the same moment the plan does, not before.
Why downgrades wait but upgrades don't
It's the same principle in both directions: we don't take money mid-cycle for time you haven't used, and we don't refund mid-cycle for time you've already bought.
An upgrade is money coming in — you want the bigger plan now, so you pay the difference for the days remaining and get it now. A downgrade is money going back, and rather than issue a partial refund we let you use what you've paid for until it runs out. You lose nothing either way; you just don't get a surprise cheque.
If your team doesn't fit the smaller plan
A downgrade needs your current usage to fit the lower plan's resource limit. If you're scheduling 40 people and want to move to Starter (25), you'll be asked to deactivate some resources first — we'll tell you the number rather than silently failing.
Deactivating a resource doesn't delete anything. Their history stays in your reports.
Switching between monthly and annual
Annual billing saves 20% on every plan.
- Monthly → annual: any time. You're charged the prorated annual amount immediately, and we show you the exact figure before charging. Your renewal date moves to a year out.
- Annual → monthly: in your last month only. An annual plan is a twelve-month commitment, so the switch becomes available as your year draws to a close and takes effect at renewal. Your Billing tab shows the date it opens up.
What can block a plan change
- A failed payment. While your account is
past due, plan changes are paused until the payment method is fixed. Use Update payment method on the Billing tab. - Usage above the target plan's limit. See above — deactivate down to the limit first.
- A negotiated contract. If you're on a Custom plan or invoiced directly rather than by card, plan changes go through your account manager instead of the Shop. We'll point you there rather than letting the buttons do something unexpected.
Paying by SEPA Direct Debit
If you pay by bank debit rather than card, your plan activates immediately but the money takes a few days to settle, which is normal for SEPA. Your invoice is issued once the payment clears — so a short gap between "your plan is active" and "here's your invoice" is expected, not a problem.
Cancelling altogether
Cancelling is not a downgrade — it ends the subscription. You keep full access until the end of the period you've paid for, you're never charged again, and there's no partial refund for the current period.
Your data is then kept for 30 days. Subscribe again inside that window and everything is exactly where you left it. See the trial guide for what happens after those 30 days.
